ERP e-invoicing master-data cleanup guide

Start with a source-data inventory, a list of review exceptions and named owners. Keep stable master records separate from invoice transactions, calculated totals and integration-generated identifiers.

Reviewed 26 October 2026. This is an independent working guide. Required fields and conditions must be checked against the current specification for your document and transaction type.

What belongs in each data layer?

A cleanup process your team can repeat

  1. Inventory. Export a small representative sample from customer, supplier, item and tax-code records. Keep the source-system ID and export date.
  2. Preserve. Work on a copy. Keep leading zeroes in identifiers. Do not overwrite the ERP from an unreviewed spreadsheet.
  3. Detect. Review blank fields, placeholder values, whitespace, inconsistent country formatting and duplicate candidates. A shared registration may be legitimate; a matching name does not prove two records are the same entity.
  4. Verify. Check proposed changes with the record owner and relevant source evidence. A correctly formatted identifier is not proof that it is registered to that entity.
  5. Map. Record the source table/field, target term, transformation, code-list version and applicable business condition. Separate an absent source value from an incorrect mapping.
  6. Approve. Give each exception an owner, action, evidence reference and review date. Include an explicit reason for a not-applicable decision.
  7. Retest. Re-export the corrected sample and test representative invoice and credit-note cases. Retain provider responses alongside the source-document reference.
  8. Maintain. Add checks to new-record creation so the same issues do not return after the initial cleanup.

Is an email address the same as an e-invoicing endpoint?

No. Keep contact email separate from the electronic addressing identifier and its scheme. Confirm how the selected provider maps and resolves the endpoint. An email syntax check cannot prove network routing or delivery.

Can invoice totals be fixed by changing the customer master?

Usually the investigation belongs in transaction and calculation logic. Trace quantities, prices, allowances, charges and rounding through the actual calculation. Master-data cleanup cannot substitute for a tested invoice calculation.

One data dictionary, explicit country mappings

Use a common inventory to understand your ERP, then document separate country and document profiles. Do not treat the generic PINT model as a ready-to-submit country implementation. Match country-specific rules, code lists, versions and provider interface requirements explicitly.
